1/28/21 - First Season Meeting minutes

Just a loose running accounting of what we talked about at the meeting, for folks who couldn’t make it.

Matt called the meeting to order a little late due to old people tech problems.

trying to stay generally to the agenda.

hearing no objections, we went to the biggest item on the list:

TEAM SIZE AND DYNAMICS (general comments. No decisions tonight)
- Family dynamic is very important to most.
- don’t want to turn anyone away.
-challenge in running practice based on few updating their availability.
- More folks will need to really step up, going forward if the team grows.
- So many stepped up last year. It was great, and we will need to count on that going forward.

BASIC SCHEDULE
- stay with Monday, Wednesday, Saturday
- Hopewell - Monday, Coaches house - Wednesday, Ride - Saturday.
- Cut off date has to be set in stone and no exceptions. We don’t have the flexibility to accommodate all at all time.

RENAMING IDEA:
Like Camps. Training groups, ride groups, skill groups.
Call the groups that go out, more the names of what they will be doing than things like “beginner, intermediate and Expert”.
- let the kids self sort depending on what kind of experience they need that day.

COACH ORGANIZATION
- Invite the coaches,and give them roles. Some will sit back otherwise.
- write out team schedule in advance
- Create “roamer” coaches, to switch between groups and pick up kids who are having problems, mechanicals, have fallen off the back.

Don and Mary Beth are doing virtual leaders Summit. Anyone could do them, and should. Getting good reviews.

Actual leader summit is coming up, and it will likely be virtual again. So we need to do a local summit with our coaches. Video tape them to teach future coaches.

On The Bike (OTB) 101 and 201 needs to be done here and official. Dave will check.

May 14th - 16th Raystown training, networking, etc. 101 & 201 trainings. Wilderness first aid.

What does the race season look like? Will be racing. Maybe stage races. More adventure races. Will come into more shape as time goes on.

CUSTOMIZATION FOR THE KIDS
- give the older kids “space” outside of the younger kids. Connie had ideas about how to start groups in other places or configurations to make that happen.

Do a survey of what kids want
- one for adults
- one for kids

SHADOW BOLTS DISCUSSION
taking Erin’s comments into consideration. How do we best do it? They are the future. Vic feels there is so many good qualities that have come from it, but there are logistical concerns. The Bolts can’t distract from the real team. the “main team” needs to be the focus.

Matt had some comments about liabilities. Only insured for the kids in Pitzone. We are diluting our coach pool, and not using everyone effectively. Some rules for the farm team will need to include the following:
- need a certain skill set.
- need to have a parent with them.
- the Bolts are a fun part of the family aspect, and we want to have them, if possible.
- survey will help with some of this.
- maybe restrict to the coaches kid?
- minimally they need to be a level 1 coach to have a kid on the bolt.

A lot to balance here. Be a whole team, but also smaller for kids to balance.

STUFF THAT ROC’S
- Girls ROC - this weekend the Ladies will meet to hash out the details. Trying to balance the same issues as the larger teams to accommodate the kids.

- Ladies ROC - also very important, and will be happening. Maybe ladies 55 group. 3 nights maybe needed to put this together.

FESTIVALS AND FUN STUFF
June 18th - 20th, mountain bike festival called the Dirty Grin. Lots of rides. A few new tracks. Strava based. Music. Lots of self guided. And fun stuff.

this Sunday is the deadline for the Strava signature challenge. We might bump it back, but we will push it back if needed.

Meeting ended around 9:30 p. Next one to be scheduled relatively soon.
